6 Awkward Review Situations (and Exactly What to Do in Each One)
Most advice about collecting Google reviews assumes the process is clean: finish the job, send the link, watch the review arrive. But anyone who has actually tried to build a review program for a local business knows the situations where the process goes sideways - the customer who wants something in return, the review that describes a business you barely recognize, the former employee settling scores from the safety of a keyboard.

When a Customer Says 'Give Me a Deal and I'll Leave You Five Stars'
The customer has framed it casually - "if you knock something off the bill, I'll leave you a great review" - but the implication is clear: no deal, possibly no review, or possibly a bad one. This is transactional pressure, and it puts you in an uncomfortable spot.
Do not take the deal.
Google's policies explicitly prohibit reviews that are solicited in exchange for a reward. A review collected this way is a policy violation, and if it's flagged it can be removed. More importantly, accepting the trade once signals to that customer - and potentially to others - that this is how your review program works.
How to respond in the moment: stay warm, stay firm.
"We really appreciate your business - we just can't do a deal tied to a review. Google's policies don't allow it, and honestly it wouldn't feel right to us either. We'd love an honest review of your experience if you're up for it."
That's it. Don't apologize. Don't negotiate. Don't explain the policy at length - you'll sound defensive, and it rarely changes anything.
What often happens: the customer, having tested you, leaves a fair review anyway. Or they leave nothing. Either outcome is better than a review you paid for.
One thing to avoid: don't offer any alternative incentive framed around the review. "We can't do a discount, but here's a coupon for your next visit - and hey, if you want to leave a review, that's totally up to you" is still conditional in the way that matters. Keep any promotions completely separate from the review conversation.
If the customer retaliates by posting a 1-star review after you declined the deal, that review may qualify for removal as retaliatory content under Google's policies. Flag it and document the exchange.
When Someone Tells You They Don't Have a Google Account
A happy customer tells you they'd love to help but they don't have a Google account - or they tried to log in and got confused. This comes up more often than most business owners expect, particularly with older customers or those who primarily use Apple devices.
Before you give up, do a quick reality check: anyone with a Gmail address already has a Google account. Anyone with an Android phone is signed into one. Gently surface this before assuming they truly can't participate.
"If you've ever used Gmail or YouTube while signed in, you've already got a Google account - it's the same login. I can send you a direct link that takes you straight to the review page once you're signed in."
If they genuinely don't have an account and don't want to create one, let it go. Alternatives worth mentioning: a Facebook recommendation (which appears publicly on your page), a Yelp review, or a short testimonial you can use on your website with their permission.
What not to do: don't walk them through creating a new Google account from scratch unless they are visibly enthusiastic about it. You're trying to make their life easier, not add a registration form to their afternoon. A customer who is genuinely stuck isn't going to leave a useful review even if they manage to post one.
One thing worth noting: customers who push through a minor barrier tend to write more detailed and more thoughtful reviews than people who tapped a link and hit stars in under 30 seconds. The effort often correlates with the quality of what they write.
When a Current or Former Employee Leaves a Hostile Review
Someone who knows your business from the inside has used your Google listing as a grievance channel. The review may read like a customer experience - or it may be obvious from the language that this person was never a customer at all.
Flag it immediately. Google's policies prohibit reviews that represent a "conflict of interest," which explicitly covers current and former employees reviewing their own employer. Use the "Report review" option in your Business Profile dashboard and select the appropriate category. Screenshot the review, the reporting dialog, and the confirmation with timestamps.
Do not respond in anger. You know things the reader doesn't - the context, the relationship, the circumstances. But a public dispute played out in review responses is a losing move regardless of who is right. If you respond at all, keep it short and neutral:
"We weren't able to verify this as a genuine customer experience and have reported it accordingly. We're happy to address any concerns directly."
Nothing more. No specifics. No names. No details that could escalate the situation into something public and ugly.
Google will often remove these reviews, but not quickly - expect weeks, not days. In the meantime, the best counter-weight is fresh genuine reviews from actual customers. A flagged review stings less when it's surrounded by recent authentic feedback.
If the situation is severe - coordinated attacks, defamatory claims, reviews appearing across multiple platforms at once - document everything carefully. When a Review Contains Facts That Are Simply Wrong
The review describes something that didn't happen. Wrong date. Wrong location. A dish you removed from the menu six months ago. An employee who was off that day. A wait time that contradicts your records in a way you can verify.
First, ask yourself honestly: is this actually factually wrong, or is it a negative interpretation of something real? "The service felt slow" is an opinion. "We had a reservation and were told to wait 45 minutes despite it" - if that literally did not happen, that is a factual claim.
If the reviewer has the wrong business entirely - which happens more often than you'd think, especially with similar names or nearby locations - flag it. Google allows you to report reviews "for a different business," and this category tends to resolve faster than most.
If the facts are wrong but the reviewer is genuinely your customer: respond publicly, calmly, and specifically. Not "that's not what happened." Instead, something like this:
"We'd really like to understand what went wrong here. Our records from that day show [neutral description of what actually happened]. Please reach out to us directly so we can look into this properly."
This does two things. It signals to future readers that something may be off. And it opens a door for the reviewer to reconsider or clarify - without forcing a public confrontation.
Keep the response short. A lengthy rebuttal reads as defensiveness regardless of the facts. One or two sentences of calm clarification is enough. The goal is not to win the argument in the thread - it's to give other readers enough information to form their own judgment.
What you cannot do: contact the reviewer repeatedly asking them to change or remove the review. Google's policies prohibit businesses from soliciting review edits, and doing so can backfire in ways that are hard to undo.
When You Suspect a Competitor Is Behind a Cluster of New Negatives
You've had a healthy, stable review profile for years. Then, over a two-week period, several 1-star reviews arrive from accounts with no history, no profile photo, and no apparent connection to any real customer interaction. The timing lines up with a new competitor opening nearby.
This happens. And it's infuriating. But the response has to be measured.
Report each review individually through your Business Profile dashboard. The "Report review" flag for "spam and fake content" is where these go. For each one, document the report: screenshot the review, the reporting dialog, and confirmation that the report was submitted.
If the pattern is clear - multiple low-quality accounts, similar timing, vague or nearly identical review text - escalate to Google Business Profile support directly via the help form at support.google.com/business. A documented pattern is significantly more compelling than a single complaint.
Do not accuse the competitor publicly in your responses. You may be right. You cannot prove it in a review thread. An accusation without evidence reads as unprofessional and signals panic to the readers you're trying to reassure.

If you know who they are - and you probably will, given the glowing text and the account name - reach out directly. Keep the message brief and low-stakes:
"Hey [Name] - thank you so much for the review. I think the star rating might not have come out the way you intended. If you'd like to update it, you can edit the review in Google Maps: tap your profile photo, go to 'Your contributions,' find 'Reviews,' and tap the pencil icon. No pressure at all."
That's the whole message. No guilt. No drama. Most people are genuinely grateful you caught it - they didn't mean to leave three stars for a business they love, and they'll appreciate the heads-up.
