SMS vs. Email for Google Review Requests: What the Channel Actually Changes
Most advice about collecting Google reviews treats SMS and email as interchangeable - just swap the phone number for an email address and the process is the same. It is not. The channel shapes the open environment, the expected message length, the timing window, and in the United States, the legal framework you are operating within. Getting this wrong does not just affect your response rate. It can affect your customer relationships and, if you are not careful about SMS consent, your compliance posture.
This is not an argument for one channel over the other. Both work. The question is when each one works better, and how to write a request that fits the channel it is traveling through.
Both channels work. Neither works by default.
The most common mistake in review collection is treating the channel as the primary variable. It is not. The primary variables are the relationship, the timing, and the clarity of the ask. A well-timed, personalized SMS from a business the customer recognizes will outperform a generic email from the same business. A thoughtfully written email referencing the specific job will outperform a blast text that could have gone to anyone.
Both channels have meaningful advantages. Neither delivers results on autopilot. The useful question is not "which channel converts better" in the abstract. It is "which channel fits this customer, this service, and this moment in the relationship."
The businesses that get the best results from review requests - whether by text or email - tend to share the same three habits: they personalize the message to the job, they send it at a moment when the experience is still fresh, and they make a single clear ask with a direct link. Everything else is secondary. Channel selection matters, but only after these fundamentals are in place.
The open rate gap is real - but it is not the metric that matters most
SMS achieves higher open rates than commercial email. That advantage is consistent across industries and not seriously disputed. For a short transactional message like a review request, that attention advantage is genuinely meaningful - a message that goes unread cannot convert.
But open rates measure reading, not acting. A customer who reads your SMS and decides not to click the link counts as an open. A customer who opens your email, clicks through, writes three sentences about their experience, and posts a review also counts as an open. The second outcome is what you actually want, and the channel that produces it is not always the one with the higher open rate.
The metric worth tracking is completion rate: the share of customers who receive a review request and eventually leave a review. Completion rate is driven less by the channel than by three other things. First, how specific the message is - does it reference the actual job, or could it have been sent to anyone? Second, how soon after the service it arrives - is the experience still fresh? Third, how direct the link is - does it take the customer straight to the review form, or does it route them somewhere they have to navigate from?
A review request that opens with "Hi Sarah, wanted to follow up on the HVAC repair we did at your home on Friday" and links directly to your Google review form will outperform a generic message in either channel. Optimizing the channel before optimizing the message is the wrong order of operations.
Where SMS has the structural edge: the single-visit service call
For businesses where customers typically engage once and may or may not return - an HVAC repair, a locksmith call, a dog grooming appointment, a one-time cleaning job - SMS has genuine structural advantages that are worth understanding.
The first is timing. After a single-visit service call, the customer has a brief window where the experience is fresh and they are probably already on their phone. An SMS arriving two hours after the technician leaves finds them in that window. An email arriving the same evening is competing with whatever else has accumulated in their inbox since morning. For single-visit services, the timing window closes faster, and SMS is better suited to catching people within it.
The second is relationship register. Customers who have not established an ongoing relationship with you did not sign up for your newsletter. They gave you their phone number so you could confirm the appointment. An SMS after the job feels consistent with that prior interaction. An email arriving from a business address they may not recognize requires them to do more work to establish context.
The third is reply behavior. Some customers receiving an SMS will write back with a question or a comment rather than clicking the review link. That is not a failed conversion - it is often the beginning of a conversation that eventually leads to a review. Email replies to review requests are rarer, and when they do come in they are usually more formal. The conversational affordance of SMS is an asset for businesses where the customer relationship is personal.
None of this is a guarantee. An SMS that arrives while the technician is still on-site feels presumptuous. One arriving three days after the job is too late. One sent from a number the customer cannot identify goes unread or gets deleted. The channel advantage only exists if the send is well-timed and clearly identified.
Where email holds its own: longer relationships and professional services
For professional services where the client relationship spans weeks or months - a contractor, an accountant, a web designer, a physical therapist running a multi-visit plan - email fits the register of the relationship in a way that SMS does not.
These clients have been receiving email correspondence from you throughout the engagement. They expect updates, summaries, and invoices to arrive in their inbox. A text message asking them to rate you at the end of that process can feel sudden in a way that a follow-up email does not. The channel mismatch signals either that you do not know them well enough to communicate appropriately, or that you are running a generic outreach campaign that does not distinguish between your clients.
Email is also the better channel when the review ask benefits from a sentence or two of context. A request for a six-week kitchen renovation might reasonably include a line referencing a specific outcome you delivered together. That context fits naturally in an email. It does not fit in an SMS without the message becoming unwieldy and the link getting buried.
B2B situations deserve a specific mention. If your customer is a business and the contact who approved the project is a senior employee or executive, sending a review request to their personal phone is likely the wrong move. An email to their work address, sent at a reasonable hour on a weekday, is the appropriate channel. Texting a corporate contact to ask for a Google review is the kind of thing that gets you mentally filed under "not professional enough to work with again."
There is also a practical data quality consideration. Email addresses are more stable than phone numbers over time. A customer who changed carriers two years ago may have a different number. If your CRM was built primarily around email, the phone numbers you have may be less reliable than the email addresses.
The legal question SMS creates that email does not
SMS review requests in the United States exist in a more complicated legal environment than email requests. The Telephone Consumer Protection Act (TCPA) imposes requirements on commercial text messages, and whether a review request qualifies as a "commercial" message under the statute is genuinely contested territory. The practical implication for small service businesses: if you collected a customer's phone number in the ordinary course of doing business, you have an established business relationship (EBR) argument that provides some protection. But "some protection" and "fully compliant" are not the same thing. A service agreement that includes an explicit checkbox for SMS consent is more defensible than assumed consent based on the business relationship alone. Some states - California in particular, under the California Consumer Privacy Act - extend further than the federal baseline, and multi-state businesses should account for the strictest jurisdiction they operate in.
This matters more as you scale. Sending a follow-up text to one customer after completing their job is low-risk. Running an automated SMS sequence to your entire customer list without documented consent is a different exposure profile entirely. TCPA provides for statutory damages per violation, and those amounts compound quickly across a large list - class actions involving mass commercial texting have resulted in settlements large enough to be business-ending for small companies.
Email under CAN-SPAM is more permissive. Commercial emails to existing customers do not require prior express written consent - they require an unsubscribe mechanism, an accurate sender address, and a physical mailing address in the message footer. The compliance bar for email is lower, which is one reason email remains the default channel for businesses that are scaling review collection carefully and do not yet have clear SMS consent documentation in place.
How the message itself has to change when the channel changes
A review request SMS and a review request email are not the same document delivered in different envelopes. They are structurally different objects, and the failure modes are different.
An SMS review request works when it is:
- Short. Standard SMS messages are 160 characters. Messages that exceed this limit may split across multiple segments or display differently depending on the recipient's carrier and device. Long messages that require scrolling to reach the link perform poorly.
- Identified immediately. Customers do not recognize most business phone numbers. The message should say who you are in the first few words - not at the end after they have already decided whether to keep reading.
- A direct link on its own line. A link buried in a paragraph of text is harder to tap and easier to skip. The link should stand alone so it is visually obvious and easy to press on a small screen.
- One ask only. A message that asks for a review and a survey response and a social media share is a message that gets ignored. One action, one link.
An email review request works when it has:
- A subject line that earns the open. "Quick request from [Business Name]" outperforms "Please leave us a review." The subject line should reference the job or the customer's name if possible.
- An opener that places them in the experience. Not just "Hi Sarah," but something that establishes what this message is about before asking for anything.
- One to two sentences of genuine framing. Not a paragraph explaining why reviews matter to your business - a brief, human line about why this particular customer's feedback would be useful.
- A prominent link. A button is good. Including the plain URL as fallback text is also good, because some email clients suppress button rendering.
- One ask only. Same principle as SMS.
The instinct to explain at length - why reviews help your business, how long it takes, how much it would mean - hurts performance in both channels. For SMS it creates a length problem and buries the link. For email it signals that you do not trust the relationship enough to make a direct ask. The messages that convert best tend to be shorter than the ones business owners draft first.
The case for sequencing rather than choosing
Most businesses that approach this as a binary choice - SMS or email, pick one - are underestimating how many customers need two touches before they act on a review request. This is not about pressuring people. Most customers who intended to leave a review and did not were stopped by friction or distraction, not reluctance. A well-timed follow-up is usually welcome rather than annoying, because the customer who saw the first message and meant to respond already has positive intent.
A sequencing pattern that works well for many service businesses: lead with the channel where the customer is most likely to act quickly - SMS for single-visit service calls, email for professional and ongoing relationships - and follow up three to five days later via the other channel if no review has come in.
